1. Introduction
NTT DATA, Inc. and its direct and indirect subsidiaries (‘NTT DATA’, ‘we’, ‘us’, ‘our’) understand the importance of ensuring that we collect, use, store, share, disclose, and otherwise handle (collectively ‘process’ or ‘processing’) information about you (‘personal data’ including ‘personal information’ or ‘personally identifiable information’ as it may be defined under applicable data protection laws and regulations) in a transparent, fair, secure and lawful way.
The entity responsible for the processing of your personal data will depend on your location and your interaction with us. A list of relevant NTT DATA companies acting as controllers, including their contact details, is available via this link NTT DATA companies.
This Recruitment Privacy Statement and Notice of Collection of personal data (‘Privacy Notice’) describes what personal data we hold, how we process it, and your choices and rights in relation to your personal data. This Privacy Notice applies to our processing of personal data in relation to the NTT DATA career portal (‘Career Portal’), recruitment processes, and other related recruitment activities.
The Career Portal may include links to or redirect you to other NTT DATA career sites (‘Career Sites’). When interacting with these Career Sites, information about the recruitment practices of our NTT DATA companies is provided in the relevant privacy statements, policies or other notices provided on these Career Sites. To the extent that these statements, policies or notices differ from this Privacy Notice, the relevant statement, policy or notice for the Career Site you are interacting with will take precedence.
For clarity and convenience, this Privacy Notice sometimes uses the umbrella term ‘candidate’ (or ‘you’) to describe the persons covered by these recruitment activities. Use of this shorthand does not alter or imply any employment relationship, nor is it intended to change a person’s legal status (for example, contractor, agency worker, or applicant). If you become an employee of NTT DATA, personal data collected during recruitment will be subject to our NTT DATA Employee Privacy Statement and Notice of Collection of Personal Data and retained as part of your employment record.
We Process your personal data in compliance with applicable laws and regulations, based on the country in which you are seeking employment.
This Privacy Notice is designed to comply with applicable data protection laws and regulations in the jurisdictions in which NTT DATA operates.
2. Categories of personal data we process about you
Personal data is any information that either directly or indirectly identifies, relates to, describes, or is capable of being associated with, or could reasonably be linked to you. We collect and process personal data in a manner that is relevant, limited to what is necessary, and proportionate to the purposes described in this Privacy Notice.
You can choose not to provide personal data to us in certain circumstances. However, if your personal data is necessary for the purposes as set out in this Privacy Notice, we may be unable to provide the relevant service, perform the requested activity, or otherwise fulfil the purpose described in this Privacy Notice.
2.1. Personal data we process about you
We collect personal data about you directly when you interact with us, automatically through our Career Portal, and via third parties as described in this Privacy Notice.
Depending on the circumstances and applicable laws and regulations of the country in which the position you apply for is located, we may collect the following categories of personal data:
2.1.1. Personal data that we collect directly or indirectly from you
We will generally collect personal data from you directly when you create a profile on our Career Portal, apply for a position with us, upload your CV or other documents, complete pre-screening questionnaires or skills/psychometric assessments, submit recorded video interviews, join our talent community, subscribe to job alerts, register to attend an event, or communicate with us including communication through our chatbots.
We may collect the following information directly from you:
- Personal identification: name, surname, date of birth, age, city of birth, country of birth, nationality, photograph, marital status, identification number, passport number, driver’s license status, profile pictures, avatars created by you, immigration status, work permits, veteran or military status, and authentication information (username and password for the Career Portal).
- Contact information: personal phone number, personal email address, fax number, home address, country of residence, and contact preferences.
- Job history, education and skills: data relating to former/current employment (company, department, function, job title, contract type (fixed term / temporary / permanent), curriculum vitae, cover letters, references from nominated referees and/or previous employers, information relating to any previous job applications and/or previous employment with NTT DATA, educational qualifications and achievements, results of pre-employment skills testing, psychometric testing results (where permitted and required), and links to publicly available professional profiles (e.g., LinkedIn) where you choose to include these as part of your application.
- Training and certifications information: educational qualifications, and certifications.
- Recruitment information: interview details and notes, recordings, personal details and communications submitted through the Career Portal, engagement with career chatbot or automated interview tools, profile creation and job alert registration information, job preferences (e.g., willingness to travel and/or relocate), participation in the talent community (based on consent), other information voluntarily shared during profile creation, application, pre-screening questionnaire, and other communications or recorded interviews and recruitment‑related communications exchanged with you via electronic messaging channels (such as SMS, WhatsApp, email or similar messaging services), which may include message content, contact identifiers (such as phone numbers), and related interaction records.
- Where interviews are recorded or processed using AI-assisted tools (such as transcription or summarisation), you will be informed in advance. You may refuse the recording in whole or in part without prejudice to your application. Where feasible, an alternative non-recorded interview option will be offered.
2.1.2. Personal data that we automatically collect:
We also automatically collect certain personal data through cookies and similar technologies when you use the Career Portal.
When you use the Career Portal and interact with our recruitment systems, we and certain third parties acting on our behalf may automatically collect data through cookies and similar technologies.
Depending on the functionality used and your interactions with the Career Portal and recruitment systems, we may collect the following information automatically from you:
- Device identifiers and other technical identifiers: your IP address, device identifier, cookie identifiers, browser type and version, operating system, device model, language settings, time zone settings, network information, session identifiers, referring website addresses, and other technical information relating to the device and software you use to access the Career Portal.
- Metadata associated with online assessments: assessment identifiers, timestamps, completion status, assessment progress, time spent on assessments, navigation activity within an assessment, technical information relating to the assessment session, login information, and records of assessment submission and completion.
- Metadata associated with recruitment communications: timestamps, delivery receipts, read or access status, communication method, sender and recipient information, correspondence records, interview scheduling information, response status, and records of recruitment-related communications exchanged through the Career Portal or recruitment systems.
- Activity logs: login and logout activities, authentication events, pages viewed, jobs searched for or viewed, filters and preferences selected, applications started or submitted, profile creation and updates, documents uploaded, consent acknowledgements, interactions with recruitment content, clicks, navigation history, and other actions performed when using the Career Portal and recruitment systems.

2.1.3. Personal data that we collect from third parties:
We may also collect personal data about you from third parties, including third party recruitment agents, interviewers, prior employers, your identified referees, NTT DATA employee referees, employment screening and vetting service providers, psychometric testing providers as well as publicly available sources (such as LinkedIn, Glassdoor, or similar), to the extent permitted by applicable law.
Depending on the source and the nature of the recruitment process, the personal data we receive may include:
- From recruitment agencies and talent sourcing providers: your contact details, CV/résumé, employment history, educational background, qualifications, certifications, skills, experience, salary expectations, availability, interview feedback, and assessments of your suitability for a role.
- From interviewers: interview notes, assessment results, evaluations, feedback, and recommendations relating to your suitability for employment.
- From employment screening and vetting providers: identity verification results, employment history verification, educational and qualification verification, professional licence verification, right-to-work status, background screening results, and other checks permitted by applicable law.
- From psychometric testing and assessment providers: aptitude test results, skills assessments, behavioural or personality assessments, competency evaluations, and related assessment reports.
- From referees you nominate who may provide reference feedback and confirmation: confirmation of employment dates, job titles, responsibilities, qualifications, professional conduct, experience, performance-related feedback (where permitted by law), and other information relevant to your suitability for employment.
- From publicly available sources (example LinkedIn): professional profile information, work history, qualifications, certifications, skills, publications, achievements, and other information that you have chosen to make publicly available.
We will take reasonable steps to ensure third parties are authorized to share your data and that any processing of your personal data is lawful.
Under certain circumstances and where required by applicable law or appropriate in the context, we will obtain your consent prior to processing your personal data, such as when contacting former employers or conducting background checks.
2.2. Sensitive personal data or special category personal data
We may collect certain types of sensitive personal data or special category personal data (collectively referred to as ‘sensitive personal data’) about you, only where this is permitted by applicable law, is necessary for recruitment, verification, or compliance purposes, and/or is voluntarily provided by you.
This may include:
- Biometric identifiers: fingerprints, facial recognition data, voice recordings or voice‑print information, and virtual avatars or digital representations generated through recruitment tools.
- Health or medical information: disability status where required to provide reasonable accommodations or comply with legal obligations.
- Trade union membership, political opinions, or religious beliefs: religion.
- Information revealing racial or ethnic origin: race, and nationality.
- Criminal history: criminal background check information only where this is explicitly authorised by applicable law and is necessary and proportionate for the role.
- Renumeration and financial information: salary, bonus, benefits and allowances.
- Other sensitive personal information as defined by local laws and regulations.
When we process sensitive personal data, we limit access to authorized individuals who have a legitimate business need to know.
We do not collect or process sensitive personal data for the purpose of inferring characteristics about you. We also do not collect sensitive personal data for any purposes other than those described in this Privacy Notice.
2.3. Children’s personal data
We do not knowingly collect personal data relating to children without obtaining the appropriate consent from a parent, legal guardian or other competent person, where required under applicable law. If you believe that we may have collected personal data about a child without the necessary consent, you can find our contact details under How to contact us section of this Privacy Statement.

4. Disclosure of your personal data
We may disclose your personal data for the purposes described in this Privacy Notice and as otherwise permitted or required by applicable law. Where appropriate, we limit disclosure to the minimum amount of personal data reasonably necessary and appropriate for the relevant purpose.
We may disclose your personal data to the following categories of recipients:
- Authorized personnel within NTT DATA, including centralized human resources, legal, compliance, security, finance, and executive management functions, as necessary to administer recruitment and support enterprise governance and operations;
- Other NTT DATA companies, including parent and holding companies, for centralized administration, reporting, security, talent management, or operational purposes;
- Authorized third-party service providers, vendors, and recruitment partners who provide systems, infrastructure, applicant tracking services, background screening, assessment tools, recruitment communications and messaging services, analytics, placement services, or other operational support;
- Third parties to provide references, where you have identified referees or where legally permitted;
- Third parties in connection with corporate transactions, including joint ventures, mergers, acquisitions, reorganizations, financing, or sale of assets;
- Agents and professional advisors, including legal advisors, auditors, accountants, insurers, and consultants;
- o Intelligence agencies, law enforcement authorities, data protection authorities, regulatory bodies, courts, or other government or public authorities acting in the exercise of public authority or regulatory powers (‘Requesting Authorities’), where required by applicable law, legally binding request, court order, or regulatory obligation.
Where legally permitted, we may notify affected individuals of such disclosures. In certain circumstances, applicable law may prohibit notification.
Service providers and other third parties with whom we disclose personal data are contractually required to process personal data only for authorized purposes and to implement appropriate technical and organizational safeguards in accordance with applicable law.
In line with our use of electronic messaging services (including SMS and WhatsApp):
- Mobile phone numbers collected as part of the recruitment process will not be disclosed, shared, sold, or rented to third parties for their marketing or promotional purposes.
- Text messaging originator opt-in data and consent (including SMS and messaging preferences) will not be disclosed to any third parties, except where necessary to provide the messaging service on our behalf.
- Any such service providers are contractually restricted from using this information for their own marketing or promotional purposes.
For the avoidance of doubt, the restrictions set out in this section take precedence over any broader data disclosure provisions in this Privacy Notice in relation to SMS and messaging data.
We do not sell or share your personal data for monetary consideration as defined under applicable data protection laws.
5. International data transfers
NTT DATA operates globally, and your personal data may be transferred between NTT DATA companies and to authorized third parties, agents, third party service providers, vendors and recruitment partners located in various countries in connection with the purposes described in this Privacy Notice.
When we transfer your personal data outside of the country from where it was originally collected; to a third country or international organization, we ensure that appropriate safeguards are in place, in line with applicable data protection laws and regulatory requirements, to ensure that your personal data is protected. Such safeguards may include standard contractual clauses, adequacy decisions, or other lawful transfer mechanisms recognized under applicable law. You may obtain a copy of these safeguards by contacting us in accordance with the How to contact us section below.
6. Retaining your personal data
We retain your personal data for as long as is reasonably necessary and proportionate to fulfil the purposes set out in this Privacy Notice unless a longer retention period is required or permitted under applicable law, including to comply with legal or regulatory obligations (including administrative reporting, record-keeping), resolve disputes, establish, exercise, or defend legal claims, or with your consent.
If you become our employee, personal data collected during the recruitment process will become part of your employee record, which we will retain during your employment and for a period after your employment ceases (in accordance with the NTT DATA Employee Privacy Statement and Notice of Collection of Personal Data and country specific laws).
If you are not selected for a role, we may retain your personal data in accordance with our retention policies and applicable law for purposes such as:
- considering you for future opportunities
- maintaining recruitment records
- improving recruitment processes and conducting aggregated analytics
- inviting you to join our talent community (where you have opted in).
If you choose not to join our talent community or later withdraw from it, we will retain only the minimum information necessary to record your preference and to avoid further contact including personal identification, contact information and job history, education and skills.
Upon expiry of the applicable retention period, personal data will be securely deleted or irreversibly anonymised in accordance with our policies and applicable law. In some instances, we may anonymise your information in accordance with our policies and may keep those anonymized records for longer periods.
We will retain correspondence, documents, and information related to privacy requests or complaints for a period consistent with applicable legal, regulatory, and audit requirements.
7. Automated decision-making and artificial intelligence (‘AI’)
NTT DATA may use automated systems, analytics tools, artificial intelligence (‘AI’), machine learning models, robotic process automation, or similar technologies to support recruitment administration, candidate management, workforce planning, analytics, compliance, information security, and operational efficiency.
Automated decision-making refers to processing that uses algorithms, AI, or related technologies to generate outputs, recommendations, alerts, or decisions, without meaningful human intervention.
7.1. Use of AI in recruitment
We may use AI-enabled tools or related technologies within our Career Portal and related recruitment systems to support and assist recruitment activities, including:
- analysing information contained in your candidate profile, CV, application form, skills, experience, qualifications, assessments and job preferences;
- matching your profile against job requirements and role criteria;
- ranking, shortlisting or recommending candidates based on relevance to a role;
- suggesting suitable job opportunities and tailoring job alerts or communications to you;
- supporting chatbot interactions, your engagement and automated responses;
- supporting chatbot interactions, your engagement and automated responses;
- supporting interview processes where AI-enabled tools are used, such as transcription, summarisation, or structured evaluation support (where applicable).
7.2. Role of AI and human oversight
AI-enabled tools are used to support or inform human decision-making, improve efficiency, and promote consistency. We do not make recruitment and hiring decisions solely by automated processing without meaningful human review, except where permitted or required under applicable law and subject to appropriate safeguards.
Human oversight forms an integral part of recruitment and hiring decision-making processes, including review of outputs generated by AI-enabled tools.
7.3. Possible consequences or significance
The use of AI in recruitment may:
- influence which job opportunities are recommended to you;
- affect how your application is prioritised, ranked or shortlisted for recruiter review;
- determine what communications, job alerts or engagement interactions you receive; or
- support the evaluation of your suitability for roles based on job-related criteria.
Please see Role of AI and human oversight. We do not make recruitment and hiring decisions solely by automated processing that produce legal or similarly significant effects, except where permitted under applicable law.
7.4. Training and use of personal data in AI tools
Personal data collected as part of the recruitment process is not used, as a matter of course, to train, retrain, fine-tune, or enhance artificial intelligence tools.
Where we improve AI-enabled tools, we generally do so using:
If, in limited circumstances, we propose to use personal data to support the training, retraining, or improvement of AI-enabled tools, we will ensure that:
- you are informed in advance of such processing;
- an appropriate legal basis applies, including consent where required under applicable law;
- appropriate safeguards and governance controls are implemented in accordance with our internal policies and applicable data protection laws; and
- personal data used for such purposes will be limited to what is necessary.
You have the right to obtain further information about how your personal data is processed, including where AI or automated tools are involved, and may request human intervention, express your point of view, or contest decisions where applicable. 7.5. Transparency and responsible use of AI
When you interact with an AI, we will clearly inform you that you are interacting with AI. If we provide content that has been generated or significantly modified by AI, we will make this clear unless it is obvious from the context. We do not use AI in a manner that is unlawful, discriminatory, or inconsistent with applicable employment and data protection laws.

8. Security of your personal data
We are committed to taking reasonable steps to protect your personal data from accidental or unlawful destruction, loss, alteration, unauthorized access, or disclosure. This includes implementing appropriate organizational and technical measures and contractually requiring third parties, service providers, clients, and other external parties to whom we disclose your personal data to do the same. Where we use electronic messaging services as part of the recruitment process, such measures include access controls and technical measures designed to limit the visibility and availability of message content and identifiers after delivery, except where limited access is required for operational, security, or legal compliance purposes.
9. Your privacy rights
Depending on your jurisdiction and subject to applicable data protection laws, you may have certain rights regarding your personal data. NTT DATA is committed to upholding your privacy rights and treats all requests to uphold or enforce your rights confidentially. These rights are subject to legal limitations, conditions, and exceptions:
- Right to be informed / know: you have a right to know what personal data we have about you, what we do with it, where we get it from, who we disclose it with, how long we keep it and why we need it.
- Right of access: you have the right to request access to your personal data and obtain a copy of the information we hold about you.
- Right to correct: you have the right to request the rectification of any inaccurate or incomplete personal data we hold about you.
- Right to delete: you may request the erasure of your personal data, subject to legal, regulatory, contractual, audit, retention, and legitimate business requirements.
- Right to data portability: you may request to receive certain personal data in a structured, commonly used, and machine-readable format, subject to legal limitations.
- Right to withdraw consent: where processing is based on your consent, you may withdraw your consent at any time. Withdrawal does not affect the lawfulness of processing carried out before withdrawal.
- Right to restrict the processing: you have the right to limit the way we process your personal data. Restriction does not affect the lawfulness of processing carried out before restriction.
- Right to object: you have the right to stop or prevent us from processing your personal data. In particular, you can object to our use of your personal data for direct marketing.
- Right to challenge automated decisions: you have the right to query and review decisions made about you using purely automated means (i.e., without human involvement or intervention).
- Right to complain: you have the right to make a complaint or raise a concern about how we process your personal data. Complaints may be made directly to us or a relevant data protection authority.
- Right to non-discrimination: you have the right not to be discriminated against for exercising your privacy rights.

Where you contact us, we may request specific information from you to verify your identity to enable us to search for your personal data and fulfil your request, as permitted under applicable law.
You may designate an authorized agent to make a request on your behalf. When your authorized agent makes a request related to your personal data, we will require the agent to provide written permission from you. We may also require that you verify your own identity directly with us at the time such a request is made.
Upon receiving your request, NTT DATA will respond within applicable legal timeframes and in accordance with our internal processes for handling data subject requests.
In certain circumstances, we may lawfully decline, limit, or defer a request where permitted under applicable law, including where necessary to protect the rights of others, preserve confidentiality obligations, maintain system security, comply with legal or regulatory requirements, retain information required for investigations or litigation, or ensure the integrity of recruitment processes.
10. Cookies and similar technologies
When you access our Career Portal, we and our service providers use cookies (small text files containing a unique identification number which are placed on your PC, laptop, tablet or mobile phone) and similar technologies including scripts, embedded web links, web beacons, Local Shared Objects (flash cookies) and Local Storage (HTML 5).

11. Links to third party websites and applications
Our Career Portal may contain links to third-party websites or applications that are not operated by NTT DATA. You may also interact with us through third-party platforms or services, including professional networking sites such as LinkedIn or other social media services.
These third parties operate independently and may collect and process personal data about you in accordance with their own privacy policies. We do not control and are not responsible for the content, security, or privacy practices of third-party websites, applications or services. Your use of such third-party platforms is subject to their terms of use and privacy practices. We encourage you to review their applicable privacy and cookie policies before submitting personal data. Where you interact with social media features (such as sharing or engaging with NTT DATA content), these interactions are governed by the terms and privacy practices of the respective social media providers.
12. Updates to our Privacy Notice
We may update this Privacy Notice at any time for any reason. If we do, we will update the ‘Version’ and ‘Date’ information at the top of our Privacy Notice and will notify you of such changes by posting the revised statement on this page.
